Property Registry Certificate

Must-Have

The single most important property document. Shows current owner, property details, transaction history, and any liens or encumbrances registered against the property.

Fixed Asset Evaluation Certificate

Must-Have

Official government valuation of the property. Essential for estate planning, inheritance matters, and understanding your tax basis. Updated annually by the local tax office.

Must-Have

Official proof that property taxes have been paid. Required for property sales, refinancing, and demonstrating compliance. Issued by the municipal tax office.

Everything you need to know about ordering Japanese property documents.

This is the most important document for any property owner in Japan. It's an official certificate from the Legal Affairs Bureau (法務局) that records the property's registered owner, lot number, building details, floor area, and any rights or encumbrances such as mortgages or liens. Think of it as a combined title deed and encumbrance check. It's required for sales, inheritance, and mortgage applications.
The 固定資産評価証明書 shows the government-assessed value of your property, which is separate from the market value. This assessed value is used to calculate your annual property taxes and is also referenced in inheritance and gift tax calculations. It's updated annually and issued by the municipal tax office where the property is located.
Most property owners only need the three "must-have" documents: the Property Registry Certificate, Fixed Asset Evaluation Certificate, and Property Tax Payment Certificate. The Resident Certificate is only needed if you're a registered resident of Japan. Building and land documents are typically only needed for construction, renovation, disputes, or detailed due diligence.
Yes — but the process requires navigating Japanese government offices and websites, filling out forms in Japanese, and in some cases visiting offices in person. Some documents can be ordered online through government portals, but availability varies by municipality. We handle all of this for you, in English, so you don't have to.
The Property Registry Certificate is available digitally in most cases. Resident Certificates are available digitally in many major cities. The Fixed Asset Evaluation and Tax Payment certificates are sometimes available digitally depending on the municipality. Building confirmations, land surveys, and floor plans are almost always physical-only. When a document isn't available digitally, we order the physical version and can scan it for you.
Digital copies: 1–3 business days. Scanned physical copies: 5–10 business days (we need to receive the physical document first, then scan it). Physical originals mailed domestically: 7–14 business days. International mail: 14–21 business days. Rush processing is available for an additional fee.
At minimum, we need the property address in Japan (Japanese address preferred, but we can work with English). For some documents, we'll also need the property owner's name (as registered), and for the Resident Certificate, your registered address. If you have your property's lot number (地番) or building number (家屋番号), that speeds things up considerably.
Property records change — tax assessments are updated annually, ownership changes get registered, new liens can appear. If you're managing a property from overseas, staying on top of these records is essential. Scheduled reporting ensures you always have a current snapshot without having to remember to re-order. Especially valuable for property managers, investors, and anyone using a tax representative in Japan.
Yes. Digital and scanned copies are delivered by email anywhere in the world. Physical originals can be mailed internationally via Japan Post. International shipping costs vary by destination and are calculated at checkout.
All documents are issued by Japanese government offices in Japanese — that's the official format. We do not alter the originals. However, if you need a certified English translation for legal or business use, we can arrange that as an add-on service. Our ordering process and all customer support is conducted in English.
